DAK Safety Platform: Privacy Policy
DRAFT for review by DAK's lawyer before use. Version 2026-10-09.
This policy says what personal information the DAK Safety Platform keeps, why, and what you can ask for. It is written by DAK Machine Safety Service, LLC, 320 1st Ave N Ste C, St. Petersburg, FL 33701, United States (info@dakmachinesafety.com).
1. What we keep
- Your account: your name, work e-mail, the company you belong to, your role, which plants you may see, and the identifier Microsoft gives your account.
- Sign-in and security records: when you signed in and out, the address of the network you came from (IP address), your browser type, and what you created, changed or deleted. These records are kept so that each company can see who did what, and so that misuse can be found.
- Work data: what your company's people enter (plants, projects, machines, assessments, photos, reports). This can include names and contact details of people at the plants, and photos that show people.
- Demo users: the e-mail and name DAK entered, when the demo started and ended. What a demo user types stays in their own browser and never reaches us.
We do not ask for payment details. We do not sell personal information or use it for advertising.
2. Why we keep it
- to let you sign in and to show you only your own company's data;
- to run the modules and make reports;
- to give your company the DAK services it asks for, and for support;
- to keep the platform secure, find misuse and keep an audit trail your company can rely on;
- to meet legal duties.
Your company decides what work data is entered and why. For that data DAK acts on your company's behalf.
3. Who else handles it
- Microsoft runs the sign-in (Microsoft Entra) and the servers, database and file storage we use (Microsoft Azure, in the United States, South Central US region).
- Writing helpers: if you use the grammar or word suggestion buttons, the text you selected is sent to the Azure OpenAI service in our Azure account to produce the suggestion. It is not stored by us.
- DAK staff see a company's data only to support that company or give it a DAK service; each visit is recorded in that company's audit log.
- We disclose information to authorities only when a law or court requires it.
4. How long we keep it
- Account and work data: while your company uses the platform. When a company stops, access is ended but its data is not erased automatically; DAK deletes it when the company asks or as agreed with it.
- Sign-in and security records: they cannot be changed once written and are kept as long as the company's data, so the audit trail stays complete.
- Demo users: the demo user account is removed when the demo ends; we keep the e-mail, name and dates so the same e-mail does not get a second demo without DAK's agreement.
5. How we protect it
Each company's data is separated in the database itself, not only in the screens. Connections are encrypted, sign-in is through Microsoft (with multi-factor sign-in for administrators), and DAK's own access is limited and logged.
6. Cookies and browser storage
The platform uses only the cookies it needs to keep you signed in and to protect forms against forgery. Your browser also stores your screen theme choice and, for demo users, the changes made during the demo. There are no advertising or tracking cookies.
7. Your choices and rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it or stop using it, where the law gives you that right. This includes the rights of people in Mexico to access, correct, cancel or object (ARCO rights) and the rights some US states give their residents. Because your company decides how its work data is used, we may pass a request about that data to your company. Write to info@dakmachinesafety.com; we answer within the time the law sets.
8. Children
The platform is for work use by adults and is not meant for children.
9. Changes to this policy
When this policy changes, the platform shows the new version at your next sign-in.
